This Privacy Policy explains how GPTGRIDX collects, uses, and protects information when you interact with our website or AI chat system. We believe in plain language — no legal fog, no buried clauses.
Who We Are
GPTGRIDX is a premium AI chat closer service operated as a sole proprietorship. We design, build, and deploy done-for-you AI chatbot systems that help service businesses turn website visitors into qualified leads and booked calls.
Our website is located at gptgridx.com. When you visit the site or interact with any GPTGRIDX-powered AI chat widget, this Privacy Policy applies.
For all privacy-related matters, the data controller is the owner and operator of GPTGRIDX, reachable at gptgridx@gmail.com.
Data We Collect
We only collect data that is necessary to provide and improve our service. This includes:
- Chat messages. The text of your conversations with any GPTGRIDX AI chat widget. These messages are processed in real time to generate responses and are temporarily stored in our systems for quality assurance and abuse prevention.
- Name. If you voluntarily provide your name through the chat interface during lead capture, we store it alongside your session record.
- Phone number. If you provide a phone number during the chat (for example, to receive a follow-up or book a call), we collect and store it. Providing your phone number is entirely optional and consent-based.
- Pain points and business context. Any information you voluntarily share about your business needs, goals, or challenges during the chat conversation.
- Page view analytics. Basic information about which pages you visit on our site, how long you spend on each page, and your navigation path. This is used solely to understand how visitors use our site and to improve content.
- IP address (approximate location). Your IP address is logged automatically as part of standard server operations. We use it to derive a general geographic region (country/city level) and to detect and prevent abuse. We do not track your precise location.
- Browser and device metadata. Standard technical data such as browser type, operating system, screen size, and referral source, collected automatically when you load any page on our site. No fingerprinting or cross-site tracking is performed.
We do not collect payment card numbers, government-issued IDs, social security numbers, or any sensitive personal data as defined under applicable data protection law. Any payment processing for our services is handled entirely by third-party payment processors who maintain their own privacy policies.
How We Use Your Data
We use the data we collect for the following specific purposes:
- Powering the AI assistant. Your chat messages are transmitted to OpenAI's API to generate contextually relevant responses in real time. This is the core function of the service. Message content is processed under OpenAI's API terms, which prohibit OpenAI from training on API-submitted data unless you have separately opted in to their data sharing programs.
- Lead capture and follow-up. If you submit your name and phone number via the chat, that information is used to notify the site owner (via SMS) of a new qualified lead, and to log the lead for follow-up purposes.
- SMS notifications to the site owner. When a lead is captured, we use Twilio to send an automated SMS alert to the business owner. The content of this alert includes the lead's name, phone number, and a summary of their stated need. Your information is not used to send unsolicited marketing messages to you.
- Lead logging to Google Sheets. Lead data (name, phone number, pain point, timestamp) is automatically recorded in a private Google Sheet accessible only to the site owner, providing a simple CRM layer.
- Service analytics and improvement. Aggregated, anonymized data about chat usage, page views, and lead conversion rates helps us understand what is working and improve the quality of our AI systems and landing pages. Individual records are never sold or shared for this purpose.
- Abuse prevention and security. IP addresses and request patterns are monitored to detect and block abusive traffic, prevent spam submissions, and protect the integrity of the service.
We do not sell your personal data to third parties. We do not use your data to serve you advertising on other platforms. We do not share your data with any party not listed in Section 4 below.
Third-Party Processors
We rely on a small number of trusted sub-processors to deliver our service. Each has been chosen for reliability and strong data privacy practices. By using our site, you acknowledge that your data may be processed by these parties under their respective terms and privacy policies.
OpenAI
AI Language Model
Chat messages are sent to OpenAI's API to generate AI responses. OpenAI processes message content on its servers and is contractually bound not to use API data for model training by default.

When a lead is captured via chat, Twilio delivers an SMS alert to the site owner. Lead name and phone number are transmitted over Twilio's infrastructure. Twilio does not use this data for its own marketing.

Cloud Hosting
Our backend server runs on Render's cloud infrastructure. All API requests, chat messages, and server-side processing pass through Render's platform. Data is stored on servers in the United States.

Lead Storage
Lead data submitted via chat (name, phone, pain point, timestamp) is appended to a private Google Sheet via a webhook. The sheet is accessible only to the site owner and is governed by Google's Workspace data processing terms.
Privacy PolicyData Retention
We retain data only for as long as is necessary for the purposes described in this policy:
- Chat transcripts. Individual chat session transcripts are retained for up to 90 days from the date of the conversation. After this period, transcripts are automatically deleted from our server logs. Aggregated and anonymized usage statistics derived from these transcripts may be retained indefinitely.
- Lead data (name, phone number, pain point). Leads captured via the chat widget are retained in our Google Sheet log until the contact requests deletion or our working relationship has concluded, whichever comes first. There is no automated deletion schedule for lead records; deletion is performed promptly upon request (see Section 7).
- Server access logs (IP address, request metadata). Standard server access logs are retained for up to 30 days for security and troubleshooting purposes, after which they are purged.
- Analytics data. Aggregated, non-personally-identifiable page view data is retained indefinitely for business analysis purposes.

Cookies & Analytics
We use a minimal, privacy-first approach to cookies and tracking. Our goal is to understand how visitors use the site so we can improve it — nothing more.
- Session cookies. We may set short-lived session cookies to preserve your chat conversation state across page loads. These cookies expire when you close your browser and contain no personally identifiable information.
- Basic page view tracking. We log page views server-side (page URL, timestamp, approximate country, browser type) to understand traffic patterns. This data is stored on our own infrastructure and is not shared with advertising networks.
- No advertising cookies. We do not use advertising trackers, third-party analytics pixels (such as Google Analytics, Meta Pixel, or TikTok Pixel), retargeting cookies, or any cross-site tracking technology. Your browsing behavior on our site is not shared with any advertising platform.
- No fingerprinting. We do not use browser fingerprinting or any technique designed to identify you across sessions without a cookie.
You can instruct your browser to refuse all cookies or to alert you when a cookie is being sent. If you disable cookies, some features of the chat widget (such as session continuity) may not function as intended, but the core functionality will remain available.
Your Rights
Depending on your jurisdiction, you may have the following rights regarding your personal data. Regardless of where you are located, we honor all reasonable requests by any individual.

You may request a copy of the personal data we hold about you, including any chat transcripts or lead records associated with your contact details.
Right to Erasure ("Right to be Forgotten")
You may request that we delete all personal data we hold about you. We will fulfill such requests within 10 business days, subject to any legal obligations to retain records.
Right to Correction
If any personal data we hold about you is inaccurate or incomplete, you have the right to request that we correct it without undue delay.
Right to Object to Processing
You may object to the processing of your personal data for purposes other than the direct delivery of the service. Where processing is based on legitimate interest, we will evaluate your objection and cease processing unless compelling grounds override it.
Right to Data Portability
Where technically feasible, you may request your personal data in a structured, commonly used, machine-readable format (such as CSV or JSON).

Upon verification, we will delete that information from our records as promptly as possible.
